Overview
The Conversations page shows every chat between your visitors and the chatbot. Open it from WPiko AI Chatbot → Conversations in the WordPress sidebar, or Monitor → Conversations inside the plugin. Conversations on the Dashboard’s Recent activity open here directly.
Viewing Conversations
- Inbox (left): every conversation with the visitor’s name or avatar, last message and time. Use Search conversations… to find one quickly.
- Conversation (center): the full chat, including errors shown in red, blocked requests from User Limits, and messages from human agents during a live takeover (Pro).
- Details (right): name and email if provided, device (desktop, mobile or tablet), and location (Pro).
Below the inbox, a compact pager (previous, Page X of Y with a page picker, next) moves between pages of conversations. Times such as “5 minutes ago” always follow your site’s timezone.
Messages you send while testing in the Setup Wizard also appear here.
Filtering by Date
In the Date range card, choose a Start date and End date and click Filter. Click Reset to show everything again.
Actions
- Download Conversation: save the conversation as an HTML transcript. Use the translation menu next to it to download it translated into one of 30 languages (English, Spanish, French, German, Chinese, Japanese, Arabic and more). Translation uses your OpenAI account (GPT-6 Luna) and keeps every message in order.
- Delete Conversation: remove the conversation permanently.
- Contact User (Pro): email the visitor directly. Add emojis and images (up to 5 MB), and let AI polish your text in a Professional, Friendly, Casual, Formal or Enthusiastic tone.
Download Emails
The Download emails card exports the contacts from your chatbot conversations as a CSV file: visitors who were signed in to your site, and visitors who gave their email through Email Capture (Pro). It shows:
- Email addresses: how many have been collected
- New in 30 days: how many are new in the last 30 days
- Last collected: when the latest one arrived
Under Include, choose All time or contacts active in the last 7, 30 or 90 days, then click Download CSV. The file has these columns: email, name, number of conversations, and first and last contact. It opens in Excel, Numbers or Google Sheets. Values that could run as spreadsheet formulas are neutralised, so the file is safe to open.
Only use the emails in line with privacy laws and what you told visitors.
Automatic Cleanup (Pro)
In the Automatic cleanup card, turn on Enable automatic cleanup and choose Delete conversations older than 7, 14, 30, 60 or 90 days (default), or 1 year. Older conversations are removed automatically. Automatic cleanup is switched off if the Pro license expires.
Replying Live (Pro)
To take over a conversation from the AI and reply yourself, use the WPiko AI Chatbot Pro Mobile App. See Admin Takeover and Smart Handoff.
On Smaller Screens
On tablets and phones, tap a conversation to open it, use the back arrow to return to the list, and tap View Details for visitor information.
Tips
- Read conversations regularly to see what visitors ask, and add missing answers with Quick learn, files or the Q&A Builder.
- Red error messages usually mean an OpenAI problem. Check the Dashboard for the reason.
- Delete old conversations (or use Automatic cleanup) to keep your database small and respect visitors’ privacy.
