Chatbot Conversations

This guide will help you understand how to view, manage, and handle chat conversations between your users and the AI chatbot.

Viewing Conversations

Conversation List

On the left side of your screen, you’ll see a list of all conversations. Each conversation shows:

  • User’s profile picture
  • User’s name
  • Their last message
  • When the conversation took place
  • Reading a Conversation

    Click on any conversation from the list to view the full chat history. The chat will display in the center panel, showing:

  • Messages from both the user and the chatbot
  • When each message was sent
  • Any errors or issues that occurred during the chat
  • User Details

    When you select a conversation, the right panel shows helpful information about the user:

  • Basic info (name, email if provided)
  • What device they used (desktop, mobile, or tablet)
  • Their location (Premium feature)
  • Managing Conversations

    Filtering Conversations

    You can easily find specific conversations:

  • Use the date filter at the top
  • Select a start date and end date
  • Click “Filter” to see conversations from that time period
  • Use “Reset” to clear the filter
  • Available Actions

    For each conversation, you can:

  • Download: Save the conversation as an HTML file for your records
  • Delete: Remove the conversation permanently
  • Contact User: Send an email to the user (Premium feature)
  • Contacting Users (Premium)

    When contacting users, you can:

  • Write a custom message
  • Add emojis to make your message friendly
  • Attach images (up to 5MB)
  • Use AI to enhance your message with different tones:
  • – Professional
    – Friendly
    – Casual
    – Formal
    – Enthusiastic

    Automatic Cleanup (Premium)

    Auto-Delete Feature

    Keep your conversation history organized with automatic cleanup:

  • Enable “Auto Delete” in the settings
  • Choose how long to keep conversations:
  • – 7 days
    – 14 days
    – 30 days
    – 60 days
    – 90 days
    – 1 year

    The system will automatically remove older conversations based on your settings.

    Additional Features

    Email Export

  • Click “Download Emails” button
  • Get a CSV file with all user email addresses
  • Use it for your email marketing (respecting privacy laws)
  • Mobile View

    When using the conversation manager on a mobile device:

  • Tap a conversation to view details
  • Use “Back to Conversations” to return to the list
  • Tap “View Details” to see user information

    Upgrade to Premium to unlock:

  • User location tracking
  • Contact user via email
  • Auto-delete old conversations
  • AI-powered message enhancement
  • Tips for Better Management

    • Regular Cleanup: Even without auto-delete, regularly remove old conversations to keep your database efficient
    • User Privacy: Always respect user privacy when handling conversations and contact information
    • Quick Navigation: Use the date filter to quickly find recent conversations or investigate issues from a specific time period
    • Error Handling: Watch for red error messages in conversations to identify and address any issues with your chatbot
